  • Minimum 5 years of experience in sales support, customer service, sales operations, or administrative coordination
  • Experience with CRM software such as HubSpot, Salesforce, Zoho, or Pipedrive
  • Strong Microsoft Office skills, including Excel, Word, and reporting functions
  • Experience supporting technical products or manufacturing industries preferred
  • Excellent communication, organizational, and multitasking abilities
  • Ability to work independently in a self-directed environment and collaboratively within a team
  • Strong customer service and problem-solving skills with professional phone and email etiquette
  • Ability to prioritize workloads and adapt to changing business needs quickly

Key Responsibilities

Sales & Administrative Support

  • Support incoming telephone calls and direct inquiries professionally and efficiently throughout the organization
  • Serve as a primary administrative support resource for Sales Management and Regional Sales Managers (RSMs)
  • Coordinate documentation, reporting, communication, and information gathering for sales operations activities
  • Maintain and manage HubSpot CRM data, sales tools, customer records, and information exchange processes
  • Maintain sales quotation tools, templates, and documentation for sales teams and distribution partners
  • Prepare weekly and monthly sales activity reports for Robotic (FA) and Welding Power Source (WPG) product lines
  • Manage incoming robot and welding job orders, including documentation collection and internal distribution
  • Support oversight and administration of the Advanced Welding Partners (AWP) program

Customer Service & Order Management

  • Respond to customer service calls and inquiries through shared email inboxes and phone support
  • Serve as liaison between Customer Service and internal departments to ensure timely issue resolution
  • Process customer and distributor requests related to parts quotations, order entry, invoicing, shipments, credit memos, and RGA requests
  • Coordinate back orders, delivery schedules, and expedited shipments with internal teams
  • Resolve customer and distributor issues in a professional and timely manner
  • Monitor inventory trends and recommend safety stock and reorder levels to Purchasing

Marketing & CRM Coordination

  • Coordinate with Marketing teams to support trade shows, promotional campaigns, distributor communications, and partner notifications
  • Maintain accurate CRM records and support data integrity across HubSpot and related systems
  • Assist with reporting, spreadsheet tracking, and sales performance documentation as required
